Overview

As an established independent insurance agency, I am seeking a highly organized and proactive Executive Assistant. This role is pivotal in supporting agency operations, serving as a liaison with clients and carriers, and helping to drive the agency’s continued success.

Responsibilities

  • Manage scheduling, correspondence, and travel arrangements for the agency owner.

  • Assist with policy management, renewals, endorsements, and client communications.

  • Liaise with underwriters, carriers, vendors, and key agency partners.

  • Maintain confidential records in compliance with industry regulations.

  • Support marketing, office administration, and event coordination as needed.

Five Key Accountabilities

  1. Client Service & Communication

    • Respond promptly and professionally to client inquiries; support policy changes, renewals, and general information requests.

  2. Scheduling & Owner Support

    • Coordinate the owner’s daily calendar, schedule meetings, and prepare documentation for appointments.

  3. Insurance Operations Support

    • Process applications, endorsements, renewals, and maintain electronic policy files; assist with billing and claims as necessary.

  4. Administrative Compliance

    • Ensure documentation and operational tasks meet insurance regulatory standards; safeguard confidential information.

  5. Office & Project Management

    • Oversee select office functions, support agency marketing efforts, and manage small projects to improve agency workflow.

Qualifications

  • Minimum 2 years’ insurance industry experience required.

  • An active insurance license (preferred, not required).

  • Proven organizational, communication, and problem-solving skills.

  • Proficiency with common insurance management systems, MS Office Suite, and digital communication tools.

  • Local availability for in-person work in Southington, CT.
